SharedGetting startedFirst launch of the app
The key elements worth checking immediately after signing in.

- Choose the correct mode: “For me”, “Specialist” or “Community”. Specialist mode is shown only on accounts with the required permissions.
- Check the notification bell, refresh icon, app installation option and profile settings.
- On a phone, use the bottom navigation. On a computer, the same modules are available in a wider layout.

You can enter the app with a standard WordPress account or configured Google sign-in.

- On /aplikacja/, enter your email address or username and password, or choose “Sign in with Google”.
- Create a new account with the registration button. If Google is enabled, the same method may also be available during registration.
- A sign-in started inside the app should return you directly to /aplikacja/.
AndroidGetting startedInstalling on Android
The PWA can run from its own icon without the standard browser bar.

- Open the app in Chrome and use the install icon in the address bar or the “Install app” option.
- Confirm the installation in the system window. You do not download a separate APK file.
- After installation, launch Instytut Mocy from the icon on your phone.
iPhone and iPadGetting startedInstalling on iOS
On iPhone and iPad, add the app through Safari’s Share menu.

- Open /aplikacja/ in Safari, tap the Share icon and choose “Add to Home Screen”.
- Confirm the name and add the icon.
- Push notifications on iOS require launching the app from the added icon and granting notification permission.
DesktopGetting startedInstalling on a computer and “Open in app”
Chrome and compatible browsers can launch the PWA in a separate window.

- Install the app from the icon in the address bar or the installation button in Instytut Mocy.
- The browser’s “Open in app” button should bring the PWA window forward and open /aplikacja/.
- If the browser remembers old behaviour, close every PWA window, refresh the page or reinstall the app.

A personal screen combining Programs, sessions, materials and the daily inspiration.

- Tiles show the most important numbers and open the relevant modules.
- The “Development” section contains materials to download, play or complete between meetings.
- The daily inspiration changes once a day and does not require manual configuration.
ClientPrograms and filesPrograms, lessons and progress
Programs are structured learning paths with lessons, materials and completion tracking.

- Open a Program to see lessons in the order prepared by the specialist.
- After finishing a lesson, mark it complete. The progress percentage updates automatically.
- The specialist can see assigned Programs and each participant’s completion level.
ClientPrograms and filesDevelopment, files and audio materials
One place for purchased materials and resources shared by a specialist.

- Files purchased with a Program appear automatically in “Development”.
- MP3, FLAC and other supported audio formats can be played in the app or downloaded with the round button.
- PDFs, documents, images, videos, archives and other materials display a file-type icon; some formats also have a preview.
ClientSessionsMy sessions, forms and payments
A session card combines the date, service, specialist, forms and payment status.

- The sessions section shows upcoming and previous meetings.
- If a pre-session form is required, a relevant button appears with the booking.
- A change of date, status or payment may generate an in-app notification and an email.
SharedSettings and helpAccount, app language and orders
Profile details, sign-in methods, language and purchase history are available without leaving the app.

- In “Account”, edit your profile photo, first name, last name, display name, phone number, website and bio.
- You can connect or disconnect available social accounts, while the “Polski / English” language choice is saved to your account.
- “Orders and payments” shows purchase history, order status, line-item details and unfinished payments.
- Profile changes are visible, among other places, in Messages and Community.
SharedCommunityCommunity feed and filters
The feed loads content in batches instead of creating an endless page.

- The first 15 newest posts are loaded initially. “Load more posts” fetches the next batch.
- Each filter fetches its own database results, such as announcements, discussions, live archive or content for a selected group.
- On a phone, swipe the filters. On a computer, drag them with the mouse or use the wheel while hovering over the bar.
SharedCommunityCreating and scheduling a post
The post editor opens as a dedicated view with content, images and publication settings.

- Choose “Create post”, enter the content and optionally add an image or attachment.
- A specialist can select the post type, audience and scheduled publication date and time.
- On a phone, the bottom publication bar remains accessible regardless of the form length.

Comments do not weigh down the feed because they are loaded only after a specific post is opened.

- The feed card shows the number of comments and the latest activity.
- Tap the post or comment counter to open the full content in a modal.
- The ten newest threads load first. Use “Load earlier comments” to fetch older comments.
- An image added to a comment appears as a small thumbnail. Tap it to open a full preview without stretching the thread.
- Adding, replying to, editing or deleting a comment updates the modal and counter without reloading the page.

A specialist can direct content to the correct group and keep discussions organised.

- Depending on permissions, choose the audience: everyone, specialists, a training group or one-to-one clients.
- An important post can be pinned, while your own post can be edited or deleted from its header.
- @mentions, reports and moderation tools help address inappropriate content.

The messenger is for private conversations between a specialist and a connected person.

- Start a conversation from “Messages”, a user profile or the available action next to a post or comment.
- Unread messages are marked with counters.
- Messages are private and never appear in the public Community feed.

- Priority sections show the most important items to handle.
- “Upcoming schedule” combines client bookings, manual blocks, days off, holidays and events imported from Google Calendar.

- The search tool helps find clients, sessions, messages and Programs.

Prepare and publish the specialist profile without leaving the app.

- Open “More”, then “Public profile and details”.
- Set the avatar, display name, bio, phone number and website.
- “Save and publish” publishes the profile and opens bookings. The system points out a missing photo, bio, service or schedule.
- Hiding the profile stops its public visibility and new bookings, but does not delete data or session history.
SpecialistSessionsPlanner: calendar and sessions to handle
The Planner combines dates, active bookings and operational session handling.

- The day view shows a selected date, while the list view shows upcoming appointments chronologically, including blocks and Google Calendar events.
- “To handle” contains sessions that require delivery, a form, payment handling or formal closure.
- From a card, you can edit the booking, call the client or close the session.

The archive limits long lists and makes it easier to find a particular type of completed appointment.

- Completed sessions from the last 30 days are shown by default.
- The status filter can show completed, cancelled, no-show or all sessions.
- Set the time range to 30 days, 90 days, 12 months, all history or custom from/to dates.

The meeting status and its payment status are separate pieces of information.

- “Completed” means the meeting took place and was formally closed.
- “Cancelled” means the appointment was called off, while “No-show” means it was scheduled but did not take place.
- Payment status can independently be paid, unpaid or refunded.
SpecialistSessionsAppointment waitlist
The waitlist collects people who cannot use current slots and helps fill a newly available appointment quickly.

- Add a person, select a service and record their preferred timing or contact details.
- When a matching slot becomes available, the system can create a task for quickly contacting the waiting person.
- The offer action prepares a message and marks the record as having received an offer.
- Change the status to waiting, offered, booked or closed as the contact progresses.

The system separates one-to-one clients, independent CRM contacts and students assigned to Programs.

- A one-to-one client profile shows contact details, documentation and notes. “Note history” stores separate dated entries, while “Visit history” contains the complete appointment archive.
- A CRM contact can exist without a WordPress account and without an email address if a phone number is stored. An account can be connected later by invitation.
- Students are people assigned to Programs. For each participant, you can check assigned content and completion percentage.

The “Clients” section is divided into three clear areas so the information does not become one long screen.

- “CRM” contains one-to-one clients, contact details, cooperation history, documentation and AI Mentor.
- “Students” shows people enrolled in Programs and their completion percentage.
- “Library” stores and shares files without leaving the Clients section.

CRM can store contacts independently of user accounts and safely transfer larger client lists.

- Add a contact manually without a WordPress account. An email address or phone number is enough; a name alone is not used for automatic record matching.
- Send a person without an account a single-use invitation valid for 14 days. After registration, the existing record is linked to the account.
- CSV import guides you through column mapping, error and duplicate analysis, and a rejected-row report. One import is limited to 10 MB and 5,000 contacts.
- Export all clients or the current search and filter result in either the basic or full variant.
SpecialistPrograms and filesSpecialist Library: files, folders and drag and drop
Upload a file once, then share it with one or more clients.

- Drag one or several files into the upload area or click it and choose files from the device. The maximum size of one file is 50 MB.
- Choose “New folder” to create a folder in the current location. Open it with one click, then add files or nested folders.
- The path above the files shows your location. Select “My files” or a path item to return to a parent folder. Search also works with folder names.
- Images receive thumbnails. A PDF can show a first-page preview when the server supports Imagick; other types use clear PDF, audio, document, spreadsheet, presentation or archive icons.
- A description is not required during upload. Add a message only when sharing, so the same file can have a different note for each client.
SpecialistPrograms and filesSharing a material with a client
One copy of a file can be shared with several people, while access remains attached to that specific material.

- Choose “Share” next to the file, select one or several clients and optionally add a message sent with the material.
- The material appears in the client’s “Development” section; an email notification can also be sent.
- The “Access” button next to the file shows the number of recipients. Expand it to see who has access and revoke each person separately.
- The access panel does not show the message entered during sharing. Revoking access does not delete the file from the specialist’s Library.
SpecialistPaymentsFile size and storage limit for a specialist plan
The Library shows the total file size, material count and storage usage assigned to the specialist plan.

- The commission plan includes 200 MB. The PLN 179 gross subscription includes 5 GB and AI with no operation limit. The administrative plan has no commercial storage limit.
- The limit combines the Library, CRM files and client documentation. One file can be up to 50 MB.
- When storage is full, the system blocks new files but does not delete existing materials. They can still be downloaded and removed.
- After a subscription expires, the limit returns to 200 MB. If usage is higher, the account remains in download-and-clean-up mode until it falls below the limit.

AI Mentor organises documentation and prepares working analyses from data stored for a client.

- For a session, it can organise a note, transcribe a recording, read an image and draft a follow-up message.
- The client profile includes analysis perspectives, progress comparison, an action plan, meeting preparation and missing-information checks.
- AI outputs are drafts. The specialist should read, correct and approve them before use.
SpecialistSessionsImages, documents and laboratory-result analysis
Attach an image of a note, PDF, report or another document to a client or session.

- AI can transcribe an image of a note, and the result can be saved as a draft or verified text.
- A document can be summarised or, for laboratory results, processed in a dedicated analysis mode.
- Laboratory analysis is not a diagnosis, does not replace a doctor and always requires specialist verification.
Administrator and specialistIntegrationsHybrid file storage on Google Drive
Google Drive reduces hosting usage, while local storage provides protection if the connection fails.

- A file is first stored safely on the server and then sent to the connected Google Drive.
- If Drive is temporarily unavailable, the file remains on hosting and synchronisation is retried.
- The heavy local copy can be removed only after Drive storage is confirmed and the configured safety period has passed.

These tools organise work before, after and between sessions.

- Tasks record actions that the specialist needs to complete.
- A pre-session form can be resent to the client and submitted answers can be reviewed.
- Post-session materials share a link, file or instruction that later appears in “Development”.

Automated scenarios help close sessions, remind people about next steps and collect feedback.

- In Automations, configure messages triggered by specific events, for example after a completed session or when no next booking exists.
- A follow-up can also be sent manually from a prepared template and personalised.
- In Reviews and import, send a rating request, review responses and see the in-app average score.
- When the External Reviews add-on is active, connect a Google Business Profile or run a one-time Booksy migration in the same screen.
- Automated copy is an operational aid. Before sending, check the recipient, timing and wording.

Offer configuration determines what a client can book, when and at what price.

- A service contains a name, duration, price, delivery format and optional form.
- Availability includes the weekly schedule, days off, holidays and manual time blocks.
- Pricing rules can change the price on selected days, at selected times or for selected services.

Packages combine several meetings into one offer, while finances show usage and settlements.

- A package defines the number of sessions, price and services that can use it.
- For a client, you can check how many meetings remain.
- Financial summaries present payments and amounts according to the system configuration.

Two modules show cash flow and working patterns derived from bookings and payments.

- Finance shows gross sales, amount after deductions, pending payments, completed unpaid sessions and refunds.
- In the same place, review and edit company details and the bank account used for settlements.
- Analytics presents occupancy, repeat rate, cancellations, average value, revenue per hour and distribution by services, days and hours.
- Recommendations interpret operational data and flag items requiring attention, but never change settings automatically.
SpecialistPaymentsPayment methods and Stripe Connect
Finance lets a specialist connect Stripe and check which payment methods are available under the current plan.

- Open Finance → Payment methods in the app, select “Connect Stripe” and complete the provider’s verification.
- On the commission plan, clients pay online through Stripe so the platform fee can be recorded correctly.
- With an active subscription, clients can choose Stripe or bank transfer. For in-person appointments, they can also choose cash payment.
- Bank transfer requires configured bank details. Cash appears only for an in-person service or a hybrid service booked in person. Stripe processing remains a separate provider cost.
SharedPaymentsReferral programme, commission and payouts
Clients and specialists use one referral programme with links, commission balances and payout history.

- Copy the main referral link or build a link leading directly to a selected Program, product, specialist or service.
- The dashboard shows visits, orders, conversion, and pending, available, reserved and paid commission.
- Commission from a paid and completed order becomes available after the safety period shown in the dashboard. A refund or cancellation reverses it.
- Before requesting a payout, complete settlement details and reach the current threshold. The requested amount is reserved until the administrator decides.

Choose between no fixed fee and a subscription with a zero platform fee and the full toolset.

- Commission plan: PLN 0 per month, normally a 3% platform fee on paid bookings, online Stripe Connect payments and 200 MB of data storage.
- Subscription: PLN 179 gross per month, 0% platform fee, AI with no operation limit, 5 GB of storage and online, bank-transfer and cash payments after setup.
- Payment-provider processing still applies to online transactions under both models. It is not an Instytut Mocy platform fee.
- “Your plan” shows current status, model comparison, a break-even calculator and a setup checklist for subscription features.

A Program can be sold as a digital product and assigned automatically to the buyer’s account.

- After a successfully completed order, the user receives access to the purchased Program and its materials.
- Additional files may appear in “Development”, while lessons appear in Programs.
- The checkout for digital products may require confirmation of immediate delivery and loss of the withdrawal right, according to the store configuration.

Marketplace helps match an offer to a client and send it with your own note and referral link.

- Choose a client and the Program, product, specialist or service you want to recommend.
- Add a message explaining why the item may be valuable to that person.
- The system adds the correct referral link automatically and records the recommendation in the contact history.
- A purchase completed through a valid link may be assigned to the referral programme under its rules.
SpecialistIntegrationsGoogle Calendar
The integration connects Instytut Mocy bookings with an external calendar and prevents double-booking occupied times.

- Connect a Google account and select the destination calendar in integration settings.
- Bookings created in the app can be sent to Google Calendar. External Google events are imported as time blocks.
- Imported events, manual blocks, days off and holidays appear in the Planner and the specialist dashboard’s “Upcoming schedule”.
- Synchronisation runs periodically. After adding an event in Google, wait a few minutes or use the available manual refresh option.

A meeting link can be attached to a session, announcement or event.

- After correct Google authorisation, a Meet link can be created automatically for an event.
- An existing link can also be pasted manually.

An administrator can review every specialist’s data usage and change limits without editing code.

- In WordPress, open “Settings → Mega PWA — Storage” or use the button in “Plans and storage”.
- The table shows the plan, Library usage, CRM files, documents, total data, usage percentage and limit overages.
- Filter and sort accounts, assign an individual MB limit or restore the limit inherited from the plan.
- The main Mega PWA settings are divided into Overview, App appearance, Sign-in, AI Assistant, Plans and storage, and Google Drive.

- First use the refresh button, check the internet connection and reopen the relevant module.
- If the PWA shows an old version, close every app window, restart the browser or reinstall the PWA.

- When reporting a problem, provide the device, browser, app screen and exact action leading to the error.
